Contracts Coordinator

Job Description

The Contracts Coordinator will provide administrative support to the Contracts Manager to efficiently operate and maintain an effective contracts portfolio management system. This position will perform specialized tasks from pre-award to close-out as assigned. Tasks will include managing a variety of contract types as well as sub-awards to ensure the company is maintaining compliance, and fulfilling its contractual obligations. 



  • Maintain and update all existing contracts in contract management database according to organizational policies, procedures, and modifications;

  • Maintain a detailed audit file for each contract which will include original contract, all authorizations and correspondence, changes/mods, amendments, clarifications, payment schedules;

  • Support the Contracts Manager in establishing and updating Contracts Department policies and procedures;
  • Review and analyze contracts and sub-awards to identify language issues and/or budgetary concerns to ensure that Acumen and/or sub-contractor is in compliance with legal requirements, company specifications and government regulations;
  • Serves as a liaison between the project staff and client and/or subcontractor contract staff;
  • Performs close-out activities as needed in collaboration with the Financial Operations Specialist and/or Contracts Manager;
  • Prepares contract briefs and revisions summarizing contractual requirements;
  • Investigates and resolves, or refers as appropriate, disputes/complaints in accordance with contractual requirements;
  • Tracks and maintains government assessments of Acumen on Contractor Performance Assessment Reporting System (CPARS);
  • When necessary, participates in proposal development and periodic reporting.


Required Skills


  • Minimum of 2 years of professional work in a contracting position

  • Strong attention to detail

  • Excellent analytical and communications skills (oral and written), and ability to represent  Acumen in a competent and professional manner
  • Experience with government contracts, task orders, proposals, subcontracting and FAR
  • Advanced proficiency in Microsoft Office tools, especially Excel
  • Ability to synthesize complex and diverse information; gather and analyze information skillfully in order to identify and resolve problems in a timely manner
  • Ability to prioritize tasks while staying organized and maintaining attention to detail
  • Capable, confident and able to work under tight deadlines, while maintaining composure
  • Willingness to work long hours when necessary to ensure completion of the project and to achieve very short deadlines that often require continuous periods of work
  • Ability to work independently and with a team
  • Ability to appropriately manage sensitive data
  • Tolerance for ambiguity, collaboration, and possesses the ability to self-direct
